VA Training: How To Write Copy That Actually Converts!
Here’s how to train your VA to write copy that actually converts! If you’re spending too much time staring at a blank screen trying to write posts, emails, or outreach messages, you’re not alone. I used to be right there with you, constantly rewriting everything my virtual assistants sent me because it just didn’t sound like me.
But once I figured out how to train my VAs to write in my tone of voice and speak to my ideal customers, everything shifted. Today, they create 80 percent of my content and keep our engagement strong.
This used to be a mess
I struggled with cringy copy, off-brand messaging, and starting from scratch over and over. I kept trying because I wanted to focus on what I’m best at and delegate the rest. Eventually, I cracked the code.
Here’s what changed
The moment I built a clear system and gave my VAs the right inputs, they started delivering better copy. I wasn’t stuck writing everything alone anymore.
Why most entrepreneurs fail at delegating copywriting
- You’re too close to your business
- Great copy takes time to research and write
- You don’t have that kind of time
Your virtual assistant can handle most of the process if they have the tools and training.
Here’s what my VAs do
They collect voice-of-customer data from places like:
- Sales transcripts
- Reddit threads
- DMs
- Calendly form responses
- Comments
- Fireflies notes
Then they build out drafts based on our Customer Copy Code system.
How I trained them
I treated the first 90 days like an onboarding sprint. I didn’t do the writing myself. I gave feedback, approved what worked, and explained what didn’t. Eventually, they understood my tone and strategy. Now they:
- Draft daily posts
- Build outreach messages
- Help with email copy
- Propose comment replies
- Track engagement
We even use Asana to manage it all, so nothing gets missed.
Give up control to scale
Your VAs won’t write like you right away. But sometimes their version will work even better because they have the time to dig into what your audience really wants to hear.
Be clear about tone. Give examples. Schedule weekly reviews. Let go when it works.
Want to try this?
You can start with my Customer Copy Code Google Sheet template. It’s linked in the notes. Use it to train your VA or team.
And if you’re ready to stop doing it all yourself, Meet ATeam. We match you with trained VAs who already know how to support founders and get real results with content.
