If You’re Still Doing the Admin, You Don’t Have a Team Yet

Every founder I talk to says they want to scale. I don’t think I’ve ever heard anyone say, “Nah, I’m good. I’d like to stay small forever.”

But when I ask, what’s your dream outcome? What’s your vision? Nobody says:

  • “I just want to do more admin work.”
  • “I want to spend more time in spreadsheets.”
  • “I love email, and I’d like to live inside my inbox.”

No one’s dream is: more Slack, more calendar invites, more browsers open.

What I actually hear is:

  • “I want an admin system that runs itself.”
  • “I want someone to know what I need before I even say it.”
  • “I want support that actually generates revenue.”
Because yeah, we all want ROI.

So let me ask you something.

If you had the right team backing you… like, dream big for a second… what would your life look like?

Not “help here and there.” I mean a team that could actually run things.

Take a minute. Pause and think about it.

Because that’s where this starts.

What Founders Really Want (Spoiler: It’s Not Just Revenue)

Most founders want their energy back.

Yes, most people want more revenue. Obviously. But what people really want is:

  • time back
  • energy back
  • momentum
  • structure
  • accountability
  • a business that feels like it’s moving forward instead of stuck in place

For me personally, my “why” is personal freedom.

I wanted to think clearly again. I had a vision of building a business where my main job is expressing the vision… and letting other people build it.

Not because I’m “too good” for the work. But because I’m the owner. And owners need space to lead.

And look, “zone of genius” is a cheesy phrase, and I’m definitely not a genius, but you know what I mean. The work you’re actually best at. The work that moves the business.

If You’re Still in the Weeds, You’re the Bottleneck

A lot of founders are stuck because they’re in the weeds.

Maybe you relate.

They’re doing everything, wearing a million hats:

  • managing their own inbox
  • approving invoices
  • chasing vendors
  • trying to set up AI to do it for them… then correcting the AI
  • hiring people who can’t make a move without being told what to do

And if that’s your “team,” that’s not a team.

That’s babysitting.

A lot of people hire task doers and wonder why they still feel overwhelmed.

Because task doers don’t create leverage.
They make more decisions.

And decisions are the real drain.

Operational drag like this usually isn’t caused by workload, it’s caused by structural hiring decisions that don’t scale. As outlined in Direct Hire vs. Contract Staffing: Which Is More Profitable for Staffing Agencies, the way roles are designed and ownership is assigned directly impacts leadership bandwidth, scalability, and long-term ROI.

The Shift: Stop Hiring “Help.” Start Building Strategic Support.

This is the shift:

Your dream outcome requires more than “help here and there.”

You need strategic support.
You need people who can solve, not stall you.

You cannot have a team that makes you the bottleneck.

You want people who take initiative.
People who think ahead.
People who make your world easier without needing 47 clarifying questions.

That’s when everything changes.

And yes, you can absolutely build this with offshore people.

Most founders are shocked by how much horsepower they can get at a fraction of the cost… when they hire correctly.

I’ve been on a mission to figure out how to work with virtual assistants for years, and I literally cannot live without my team now.

That’s why I scaled it.

Why Hiring Changes Everything (When You Do It Right)

Here’s the truth: a lot of people underestimate:

You cannot build an excellent business with a mediocre team.
You just can’t.

Underperformers don’t just “not help”… they drain you.

But when ops gets handled, when admin gets handled without you—it’s a dream.

You’re leading again.
You have space to think.
To grow.
To breathe.

For example, I pretty much work Wednesdays and Thursdays. On Fridays, I make these videos because I love doing it. Other days, I do the things I love to do.

That doesn’t happen because I’m magical.

It happens because I’m not bogged down in the weeds.

And I’ve watched this happen for clients too:

  • One client started landing speaking gigs because they finally delegated ops.
  • Another client had about a quarter of a million dollars sitting in receivables… and collected it pretty quickly after bringing in ATeam support.

That’s real ROI.

Recruiting offshore or remote support fails most often when expectations aren’t clearly set upfront. In The 5 Biggest Mistakes CEOs Make When Hiring Virtual Assistants – and How to Avoid Them, CEOs are warned that vague role definitions, unclear KPIs, and lack of empowerment lead to frustration long before performance becomes an issue.

“Virtual Assistants” Doesn’t Mean Just Admin

When I say virtual assistants, I don’t mean “someone who schedules your calls.”

I mean:

  • admin
  • marketing
  • sales
  • integrators
  • strategy support
  • operators

This is capacity. This is leverage.

It’s breathing room.

I’m way less stressed. I have bandwidth to scale without sacrificing what I actually like doing; pickleball, friends, living like a human.

Because founders need time to breathe.

And honestly? If you’re procrastinating, that’s usually a sign that the stuff you’re avoiding is stuff someone else could be doing for you.

You are your company’s biggest asset.
And you’re probably your company’s biggest asset too.

So protect that.

Your Prompt for Today: What Would Your Dream Team Look Like?

Just today, take a few minutes of quiet and ask yourself:

If you had a dream team… what would that look like?

This is dreamland. Think big. Anything.

What would you stop doing?
What would you finally start doing?
What would you say yes to if you weren’t buried in admin and task switching?
