The Hidden Sales Killer: Follow-Up Inconsistency
You might believe you’re in a sales slump, but more often than not, the real culprit is a lack of follow-up. Leads are coming in, but no one is following up fast enough or consistently enough. Don’t let this happen to you.
I can’t tell you how many times I would suddenly discover an email from a potential client sitting in my inbox, unanswered for days. Sometimes, I’d even miss replies to my own outreach. And by the time I noticed, it was too late. The lead had already moved on and found another solution. When someone wants to work with you, and you don’t respond quickly, you lose that window of opportunity. It’s the worst feeling in the world.
Why Systems Matter More Than Hustle
What changed everything for me was implementing systems to nurture leads. People often ask me, “How many times should I follow up?” The answer: until they say yes, no, or “leave me alone.” Even when someone says no, I don’t stop completely. According to HubSpot, the average client says no four times before they say yes.
Worried you’ll annoy someone? Instead, ask yourself, “What’s the worst that can happen and what’s the best?. For methe worst thing that could is someone I don’t know might get annoyed. The best? I gain a great new client. Most of the time, people thank me for my consistency and persistence. When you follow up diligently, you’re showing your prospects what it’s like to work with you: reliable, steady, and present.
My Sales Funnel Was Leaking. Here’s How I Fixed It
If you already have a strong offer, niche-market fit, and leads are coming in, then chances are your sales issue lies in your systems. I used to have a leaky funnel, and now I’ve turned it around. Here’s what worked for me: delegation and systems.
Systems aren’t just tech tools or operations jargon. They’re the glue that holds your sales process together. Start by asking yourself a few key questions:
- Who is tracking your leads?
- What’s your follow-up timeline?
- Is it consistent or random?
- Who owns your sales SOP (standard operating procedure)?
- Are you delegating repeatable tasks?
If you don’t have a sales nurturing SOP, you’re leaving money on the table.
The Delegation Shift
I had to accept that if sales follow-up relied solely on me, it would be inconsistent. I’m not a naturally organized person, and my approach can be a little random. So I assigned a virtual assistant to monitor lead flow and follow-ups. We update our SOPs every 90 days to refine what works and toss what doesn’t. GAME CHANGER!
We built out a CRM process that supports delegation. Right now, we use HubSpot, but the software itself isn’t what matters most. If you already use a CRM or ATS, stick with the one you’ve got. What matters is having a system that allows your team to track where every lead is in the pipeline, with follow-up workflows and auto-reminders.
And just like you need the right tools, you also need the right person. I once worked with someone who was great at sales, but not consistent with follow-up. She was charismatic and great on camera, but when follow-ups slipped through the cracks, I had to make a change. Now, with the right virtual assistant at the helm, I can confidently hand off leads, knowing they’ll be nurtured until we get a response.
Build a System You Can Trust
If you’re still handling follow-up yourself, turn it into a structured habit. Build out your workflow, set auto-reminders, and use systems that help you stay accountable. If you find you can no longer count on yourself, it’s time to delegate.
