How to Close More Deals Without Hiring a Sales Team
Hiring expensive salespeople is risky, it is not a guarantee that you will close more deals. They require a big investment, tons of training, and often don’t work out. I’ve been there. But I’ve also built and sold a business for $28 million, and I didn’t do it by throwing money at a sales team. I did it by systematizing sales and leaning into what works, without bloated payrolls or empty promises from lead gen companies.

You Don’t Need a Closer to Scale
So many founders think the only way to scale sales is by hiring a “closer.” That’s just not true. You already have what you need. If you know your value proposition and can listen to your customers’ pain points, you’re 90% there.
The real issue? Most of us founders are too busy to follow up when it counts. That’s where we lose deals — not in the pitch, but in the silence that follows. I fixed this by creating a repeatable sales process and building it around my strengths.
Here’s how I do it.
Step 1: Centralize Leads to Eliminate Chaos
Chaos kills conversations.
I used to miss leads all the time because they were scattered across email, LinkedIn, Slack, and other platforms. By the time I’d find a message, the opportunity had often passed.
Now, my team handles all incoming messages from every platform: LinkedIn Sales Navigator, Slack, email, online groups — and consolidates them into one place. We use Asana, a project management tool, and Slack channels to route everything into a single lead capture system. You could also use a shared inbox or HubSpot.
This change alone made a huge difference. Instead of letting leads slip through the cracks, my team captures and organizes everything. I only need to focus on what matters.
Step 2: Delegate First Responses to Virtual Assistants
Founders are usually the bottleneck. I was no different.
To fix that, I trained offshore virtual assistants to handle first-touch communications. At first, it took some onboarding but now they reply in my voice, handle most inquiries, and escalate to me only when necessary.
Sometimes they introduce themselves as my assistant. Sometimes they respond as I do. Either way, they’re trained to sound on-brand and aligned with our values. They even use ChatGPT to draft responses, which I review and explain edits so they keep improving.
We also use templated replies, project management tools, and CRM integrations. One of my favorite tools is Instantly’s Unibox, which combines email from multiple domains into one inbox — perfect for keeping everything organized.
Today, my VAs flag qualified leads, book calls, nurture relationships, and even help close deals. That frees me up to focus on creating content, speaking engagements, and growing the business.
Step 3: Time Block for Consistent Follow-Up
Sales isn’t about charisma. It’s about consistency.
That’s why I block time daily for sales follow-up and deal-closing.
Just 30 minutes a day of focused biz dev outperforms an entire week of scattered outreach. I treat this time as sacred revenue-generating work.
Think of your sales process as a preview of what it’s like to work with you. Be reliable. Show up. Ask good questions. Communicate clearly.
When you make follow-up a disciplined, repeatable habit, you’ll close more deals — no expensive salespeople needed.
Use VAs and AI to Accelerate Content and Outreach
Your VAs can do more than reply to messages — they can help you scale your communication. Mine pre-draft outreach emails and follow-ups. I spend two minutes reviewing, making small edits, and sending. It’s fast, efficient, and tailored.
By explaining my tone, context, and thought process, I help them get better over time. Combining VAs and AI has seriously accelerated my ability to stay connected with prospects in a way that still feels personal.
