3 Unexpected Ways to Keep Your Sales Pipeline Full

Why You Should Build Your Pipeline Before You Need It

When business is booming, it’s tempting to put sales on the back burner. After all, you’re busy making placements, handling client work, and celebrating wins. But that’s exactly when you should be focused on how to build your sales pipeline.

I learned this firsthand, running a staffing agency I eventually sold for $28 million. That success didn’t happen by accident. It came from being proactive, not reactive, with my sales strategy.

The Danger of Reactive Sales

One of the biggest mistakes I see founders make is waiting until revenue slows down to start selling. I’ve done it too. I remember a stretch where we were so flooded with making placements that we slacked off on outreach. Eventually, that caught up to us, and we were stuck with a pipeline drought. Don’t let that happen to you!

If your sales only happen when you’re panicked, you’re not running a business. You’re riding a rollercoaster.

Sales habits (and automation)are what build consistency and stability. I try never to forget when I learned that the hard way.

Make Sales a Habit, Not a Reaction

Sales Pipeline Building Habits

Your sales strategy shouldn’t depend on whether you’re busy or not. It should be a built-in system that runs regardless of how busy you get

I try to have a regular time block for prospecting, but relying on me having the time is not a great system, so I use virtual assistants and automation to keep things moving even when I’m head-down on other things or, let’s be honest, at the gym or playing pickleball. That’s how we maintain a strong, sustainable sales pipeline: by making outreach part of our weekly rhythm.

But if you’re doing it yourself, even just five minutes of proactive prospecting a day can compound into real results over time.

Build Relationships While You’re Winning

Build Relationships for a Scalable Sales Pipeline

Just like the expression, “It’s easier to get a job when you have a job,” people trust you more when you’re winning. When you’re busy and your work is in demand, you’re also in the best position to collect social proof.

Every compliment from a client, every “this is working great” comment is an opportunity. We try to capture those moments, ask if we can use them as testimonials, and fold them into our staffing outreach strategy.

It’s also easier to close deals when you don’t need the business. You’re more confident, you can be more selective, and you’re not chasing leads just to stay afloat. That energy shows! Personally, I don’t do well when I’m fearful or over-stressed.

Pipeline Now = Options Later

A full pipeline gives you options. You get to choose clients that align with your values and your business model. You’re not saying yes out of desperation. You’re choosing what’s best for your long-term growth.

When recruiting downturns happen, and they always do, your pipeline is your safety. You can think of it like your business’s insurance policy.

3 Unexpected Ways I Keep My Sales Pipeline Full

Now that you know why it matters, here’s how I keep my pipeline full, even when I’m swamped with client work:

3 Ways to Build Sales Pipeline

1. Delegate to Virtual Assistants

I work with offshore VAs who build and maintain my CRM, log leads, set up nurture sequences, and manage follow-ups. After every sales call, I record quick notes or use an AI transcription tool like Fireflies or Quill. My team then updates HubSpot and keeps the conversation going.

They handle booking calls, organizing my sales calendar, and prepping lead lists so I can stay focused on strategy and content, the things I love most.

Incidentally, I now have VAs handling delivery, so I’m totally out of the weeds and I love it!

2. Run Automated Campaigns

I always have at least one automation running in the background. Right now, I use Dripify to run LinkedIn and email campaigns. Sometimes I use Instantly for cold email outreach. These campaigns aren’t flashy, but they work. They keep our name in front of prospects and help us stay top of mind without relying solely on manual outreach.

It’s a core part of our business development strategy.

3. Prospect on LinkedIn (Even Just 5 Minutes a Day)

Every day, I try to spend at least five minutes prospecting where my ideal clients hang out. Mine are on LinkedIn (yours may be somewhere else). I might send a voice memo, a short video message, or just a thoughtful comment on their content.

Even if it’s quick, it builds the muscle. Over time, that consistency adds up to real results. The key is to pick a habit you can stick with, even when you’re “too busy.” Think of it like brushing your teeth.
